Adherence OS provides behavioral intelligence software to recurring cash-pay healthcare clinics. We help operators understand patient continuation patterns using de-identified operational signals. We do not provide clinical services and are not a covered entity under HIPAA.
Contact and outreach data. When you request early access, book a call, or contact us, we collect your name, email address, clinic name, and any information you voluntarily provide. This data is processed through Calendly and Beehiiv.
Website usage data. We collect standard analytics data — pages visited, time on site, referral source, browser type, and approximate location — to understand how visitors interact with adherenceos.com. This site is hosted on Netlify.
Pilot engagement data. During a paid pilot engagement, we may collect operational data provided by your clinic — such as anonymized appointment patterns, refill timing, and communication response rates. This data is used solely to deliver the adherence intelligence service.
Our product is architected to function without patient PHI or PII. We do not require — and our onboarding does not collect — patient names, dates of birth, diagnosis codes, insurance information, or any individually identifiable health information as defined under HIPAA. If a clinic inadvertently shares PHI, we will flag it and request removal.
This reflects our current pilot-phase architecture. As Adherence OS moves beyond the pilot phase, PHI handling will be introduced. This policy will be updated — and affected clients notified — before that occurs.
We use contact data to respond to inquiries, conduct sales conversations, and send product updates to opted-in contacts. We use pilot engagement data exclusively to deliver the adherence intelligence service scoped to your engagement. We do not sell your information to third parties.
We use Calendly for scheduling, Beehiiv for early-access communications, and Netlify for website hosting. Each operates under its own privacy policy. We do not share patient-related data with any third party outside of your engagement scope.
Contact and inquiry data is retained for as long as necessary to manage our business relationship. Pilot engagement data is retained for the duration of the engagement and deleted within 90 days of engagement close, or upon written request.

By accessing adherenceos.com or entering a pilot engagement with Adherence OS, you agree to these terms. If you are entering an agreement on behalf of a clinic or organization, you represent that you have authority to bind that entity.
Adherence OS is a behavioral intelligence platform that helps recurring cash-pay healthcare clinics identify patient disengagement signals and support continuation-focused operations. The platform analyzes de-identified operational data — such as appointment patterns, refill timing, and communication response rates — to surface momentum signals and inform clinic workflows.
Adherence OS is an operational intelligence tool. It is not a medical device, clinical decision support system, or substitute for clinical judgment. Nothing in our platform or communications constitutes medical advice, diagnosis, or treatment recommendations.
The current platform operates on de-identified operational data and does not require patient PHI. This architecture reflects the pilot phase. As Adherence OS expands, data handling practices will evolve and these terms will be updated accordingly.
Access to the Adherence OS platform is currently provided through structured 12-week pilot engagements. Specific terms — including scope, deliverables, payment, and data handling — are defined in a separate engagement agreement executed between Adherence OS and your clinic. In the event of conflict, the engagement agreement governs.
You agree not to: use the platform for any unlawful purpose; attempt to reverse engineer, copy, or redistribute any Adherence OS software or methodology; share access credentials with unauthorized parties; or use the platform in any way that could harm patients or violate applicable healthcare regulations.
All platform software, methodology, scoring models, intervention frameworks, and content produced by Adherence OS remain the exclusive property of Adherence OS. Your clinic retains ownership of all operational data you provide. Anonymized, aggregated learnings may be used to improve the platform.
The platform is provided "as is" during the pilot phase. Adherence OS makes no warranties, express or implied, regarding platform uptime, accuracy of outputs, or specific business outcomes. Patient continuation results depend on many factors outside our control.
To the maximum extent permitted by applicable law, Adherence OS shall not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of the platform. Our total liability in any engagement shall not exceed the fees paid in the three months preceding the claim.
These terms are governed by the laws of the State of Florida, without regard to conflict of law principles. Any disputes shall be resolved in the courts of Orange County, Florida.
We may update these terms from time to time. Material changes will be communicated to active pilot clients. Continued use of the platform after changes constitutes acceptance.

Adherence OS is architected to deliver adherence intelligence without requiring access to protected health information. Our onboarding process does not collect patient names, identifiers, dates of birth, diagnosis codes, or any data element that would constitute PHI under HIPAA. This design choice is intentional: it eliminates the most significant compliance and security risk category before a single line of code runs.
Clinics that are covered entities under HIPAA can engage with Adherence OS without executing a Business Associate Agreement, because our product does not receive or process PHI in standard operation. If your compliance team requires written confirmation of this architecture, contact us directly.
This is a pilot-phase architecture. Adherence OS intends to introduce PHI-handling capabilities in a future phase. When that occurs, this documentation will be updated, a formal Business Associate Agreement template will be made available, and the relevant HIPAA technical and administrative safeguards will be documented in full.
During a pilot engagement, we work with operational and behavioral signals provided by your clinic — such as anonymized appointment cadence, refill timing patterns, and communication response rates. This data is used exclusively to generate adherence intelligence outputs for your clinic. It is not combined with data from other clinics, sold, or used for any purpose outside your engagement scope.
The Adherence OS website is hosted on Netlify, which provides TLS encryption for all data in transit, DDoS protection, and infrastructure managed to SOC 2 standards. All communications between clients and Adherence OS are conducted over encrypted channels. We do not operate unsecured data collection endpoints.
Access to any engagement data is limited to Adherence OS personnel directly involved in that engagement. We do not use shared credentials. Engagement data is segmented by client and is not accessible across accounts.
Pilot engagement data is retained for the duration of the engagement and for a period not exceeding 90 days following engagement close, after which it is deleted. Clients may request earlier deletion at any time by contacting us in writing. We will confirm deletion within 30 days of request.
In the unlikely event of a security incident involving clinic-provided data, we will notify affected clients within 72 hours of becoming aware of the incident, provide a written summary of what occurred and what data may have been affected, and cooperate fully with any reasonable investigation.
